Do you provide your own products in your contract cleaning service?

Yes, we supply our own chemicals, equipment and machinery and provide the respective training and documentation. In addition to this, we take on responsibility of maintaining and upgrading our equipment as and when necessary.

How quickly can you start a cleaning contract?

Once we receive a contract award notice we can start as soon as the 28-day TUPE legislative period is completed. However, under special circumstances this can be significantly reduced.

What locations do you operate in?

We understand the importance of proximity to our contracts, therefore our focus is on locations where we can respond quickly; these consist of the London, Home Counties, the East of England and the Midlands.

Do we get new cleaners when signing up to a new contract?

Existing cleaners at the site will have the right to transfer to us through TUPE. If the inherited cleaning team is understaffed, we will begin a recruitment campaign to fulfil the number of cleaners/hours tendered for within the contract.

How do you vet your staff prior to starting work?

The level of vetting we apply is dependent upon local requirements but as a minimum we request from new staff that they provide proof of Identity, their right to work in the UK if it applies to them and supporting documentation. We also ask for 3 years’ worth of previous work references and enhance DBS check staff that will be working in educational environments.

Who do we contact if we have a concern or request?

You can raise a concern or request to our Supervisor at your site. If the site is of a size that does not require a Supervisor, you can contact the Area Manager that is responsible for the day to day running of your site by phone or email and they will be happy to assist you. How often will management visit our site?

Depending on the size of your site and the input required by our management team, you can expect visits between the frequencies of once per week to once per month.

Are all your cleaners employed by Reef?

Absolutely, all cleaners are directly employed by Reef subject to selection process. We do not use any cleaners that are provided on behalf of an agency.

What will happen if my cleaner is sick or away?

Depending on the notice we receive for someone being off sick, there are several solutions we can seek. Firstly, we would ask other members of our team to work extended hours to fulfil the cleaning duties required. If this is not possible, we would look to mobilise a portion of our mobile team to support the site. With planned holiday that we are made aware about in advance, we would schedule one of our mobile operatives to support for that period. For sites that qualify, flexible operatives that are permanently dedicated to site can cover for such instances.

How do you ensure the best service is delivered?

We operate under several key quality initiatives to ensure the service you expect is delivered. We would look to introduce a bespoke range of Key Performance Indicators (KPIs) that cover the entirety of the contract. To monitor the quality of the operation we would look to formally audit all areas on an agreed basis with the client. Ideally, we would like to invite the client to attend an audit with us to ensure fair and consistent grading.

Do you have any accreditations?

We have the following accreditations: SafeContractor (Health & Safety), ISO9001 (Quality Management) & ISO14001 (Environmental Management). We are also a Corporate Members of BICSc (British Institute of Cleaning Science). Our accreditations are reviewed and renewed on an annual basis.

How do you maintain performance?

To ensure performance expectations are sustained for the duration of the contract, we seek to manage and lead by example. Our focus on on-going training initiatives coupled with strong and supportive management plays a fundamental role in making what we believe is a great cleaning operation – don’t just take our word for it, see what our clients say about us!

What insurances do you hold?

We have insurances for Employers Liability, Public and Product Liability, Professional Indemnity, Loss of Keys, Cyber Insurance and Vehicle Fleet Insurance.

Do you train your operatives?

We have an internal ‘British Institute of Cleaning Science’ accredited training team that will induct all staff prior to starting work and ensure they are fully compliant with the best practice within the industry. This is refreshed by monthly toolbox talks and ongoing training programmes and development initiatives.

Are you an environmentally friendly company?

We are ISO14001 accredited and operate to the highest environmental standards, using the latest innovations available to the industry.
