What is a Cleaning Specification?

Cleaning Specifications are used to outline cleaning requirements and tasks. A cleaning specification should be used to detail the scope of the services required for the site, which may include contracted weeks required, cleaning times, janitorial provision, washroom services and other additional or specialist services.

More commonly, cleaning specifications are used as a schedule for the completion of daily, or routine cleaning tasks, in addition to periodic, or deep cleaning tasks. The tasks are usually split into areas outlining various requirements of the site.

Types of Specification
There are two main types of cleaning specification called Output Specifications and Input Specifications. An input specification sets out exactly what is required and often, to the frequencies required, including daily and weekly tasks. A separate specification may be devised for deep cleaning tasks. The second type of cleaning specification is referred to as an output specification, which details the standards that the cleaning should achieve.
So, why are Cleaning Specifications important?
Cleaning specifications are an important document to ensure a mutual understanding of cleaning requirements by both the client and the contractor. The cleaning specification should be issued at the time of invitation to quote so that all parties can be exactly sure of the requirements and provision needed. This also ensures the client is receiving comparable quotes.
The importance of cleaning specifications continues after the awarding of a contract as to monitor the service delivery and standards against the site requirements. This is referred to as monitoring the Service Level Agreement, and several quality auditing and KPI monitoring systems may be deployed to ensure accurate reporting of the achievement of the specification.
